Important Notice regarding OS
Compatibility
Due to newer technologies implemented from ManageMore
Version 5.0 and above, Intellisoft will no longer be supporting older
Windows 9x operating systems. We advise customers to upgrade their
operating systems to Windows 2000 or greater prior to upgrading to this
release.
FYI: Windows 98/ME was discontinued in 2003 and is no longer officially
supported by Microsoft.
Version 5.0 (revision B)
Improved Rate Plan Commission Calculations (Optional Cellular Manager Module)
Due to the periodic changes made by cellular carriers
(in terms of commission payment practices), some changes were
necessary in the way ManageMore handled commission calculations on new
activations. In particular, Cingular Wireless has recently
announced a nationwide change in how it will pay dealers for contract
upgrades and our prior design would have forced users to create many more
rate plans. The changes made in this revision were planned for a
future release, but we moved up the schedule to better address the
current needs of Cingular dealers.
As a result, ManageMore has redesigned how pending
commissions are determined when entering a new cellular activation
record. This new design is extremely flexible and allows for a much
broader scope of calculation possibilities that should cover most
future unforeseen changes in the cellular industry.
The main changes in the Cellular Manager revolve
around the newfound importance of the user-defined contract type field.
Until now, the contract type had little relevance in the cellular
activation record and served more as a reference value, than anything
else. Now, the contract types that you define for each service
provider has a direct relationship with the rate plan and commissions
associated to your company and dealers. This new relationship
allows for an unlimited number of company/dealer commission calculations.
The new design also allows for a long asked for "salesperson" commission
tracking system based on cellular activations as well.
Existing ManageMore users should review the rate plan records to get a
better understanding of how the new commission table is now calculated.
You will immediately notice that the commission amounts are no longer
related to the contract length, but rather the contract types defined for
the service provider. In essence, the contract type takes the place
of the contract length.
As a result, the contract length field is no longer available on the
cellular activation form. Contract types should now be thought of
in terms of length and type of contract. Within each created
contract type, you do have the option to define a contract length (in
months), but it is not necessary for commission calculations to work.
The only benefit to providing a contract length for each contract type is
so that the contract start/end dates get auto-filled when adding a new
activation record.
Let us give an example of how you would set up your contract types for a
certain service provider "XYZ". Let's say for example XYZ carrier
offers a variety of rate plans that have 4 varying contract lengths (e.g.
6 months, 1 year, 2 year, 3 year). If this is the case, you
should define 4 contract types within the XYZ service provider record.
For each contract type you add (see the Contract Types tab within
Lists... Industry... Cellular... Service Providers...) You would name
each of these contract types with a unique title like
"Standard 6 mo.", "Standard 1 Year", "Standard 2 Year", and "Standard 3
Year". Each time you add a contract type to a service provider, all
rate plans related to this same provider will now get the option to
assign a commission structure to that specific contract type.
Here's one more example: Let's suppose XYZ carrier now wants to do
a special contract upgrade offer to existing customers and is going to
pay your company under a slightly different commission structure for
this. Simply create additional contract types for each possible
commission makeup that would exist (e.g. "Upgrade 1 Year", "Upgrade 2
Year", etc.)
For quicker data entry, we have added a default contract type that can be
set up for each service provider you have on file. Please see the
service provider record under the Detail tab for this setting.
NOTE: When upgrading to this
revision, ManageMore will create a variety of new contract types for each
cellular service provider you have on file. It is possible that
this upgrade will create contract types that are not needed and can be
safely deleted. Unfortunately, there is no way for the upgrade
process to know which contract lengths and prior contract types you were
using, so it will create all possible combinations available. While
it won't be necessary to do any additional data entry when upgrading, we
do advise you review all contract types generated and remove unnecessary
ones when you have the opportunity to do so.
Miscellaneous Improvements and Fixes
1. New setting in Cellular Manager which allows the ESN/IMEI to be
optionally filled-in during activation. See Setup... Industry...
Cellular Options... General...
2. New notes tab was added to the Cellular rate plan records so that you
can write comments and info pertinent to the new plan being added to the
database.
3. Fixed a problem with skipping of electronic credit card processing
when taking a customer payment
4. Fixed a critical costing calculation error when using Kit items that
contain a FIFO/LIFO based sub-component. At the point of sale, the
cost for the sub-component of the Kit would be recorded as zero instead
of its normal FIFO/LIFO layered value.
5. Fixed a multi-tagging issue with Return Processing when returning
multiple items at once.
6. New International Address feature for your company address and all
store locations defined. This feature is designed for non-U.S.
based companies. It basically eliminates City/State/Zip fields and
adds an extra address line for those international businesses that need
it. It also drives all other address labels throughout the program.
7. Improved Customer Ship To Address data entry. New Company Name
and Contact Name fields were added that allow the Shipping address to
reference someone else.
8. Sub-Account records now have a salesperson field added to allow
multiple salesperson relationships to a single account. When
invoicing a customer with sub-accounts, the salesperson field is
automatically filled with the rep assigned to the sub-account first,
before defaulting to the main salesperson associated to the customer
account.
9. New Customer Account Merge feature in Advanced Toolkit (i.e. MMTools
program). This new merge utility will move all historical data from
one customer account into another. Please see Activities...
Customer Tools... Merge Customer Account...
10. Improved support for European VAT transactions.
11. New Item Profile button added to the Inventory Return Processing
window. It is now easier to drill down on a specific held inventory
item to look at the actual supertrack inventory record itself.
12. Improvements were made to the Security Administrator program to
make it simpler to use and easier to update security resources when
upgrading to newer ManageMore versions. It is now recommended that you access
User Security directly from within ManageMore under Activities... Human
Resources... User Security... To lock employees out of using the
Security Administrator, please go to Users List within the Security
program, pull up a Security User record, go to the User Properties Tab
and click on the checkbox that says "Allow Access to this Security
Application". One notable improvement to the Security
Administrator is the ability to get a printout of the new resources after
performing an import of the Security Resources.
13. Improvements to List & Label Manager now support the printing of
serial numbered inventory items. Companies who assemble merchandise
and serialize them can now print their own labels with the serial numbers
assigned at the time of creating a purchase receipt or work receipt.
Simply select the "Require Label" checkbox on the desired supertrack
inventory items and ManageMore will properly pass the serial numbered
items to the List & Label Manager. Then create a label format which
includes LSIN:SerialNumber on it.
14. Added Unit of Measure column to the Inventory Count process for
better clarification.
Version 5.0 (revision A)
New Auditor's Edition Feature
For many small businesses without on-staff
bookkeepers, it is common for a business to hire outside accounting
firms or private practice accountants to review the corporate books on a
periodic basis. These outside accounting firms usually find it
cumbersome to have to visit your workplace in order to look at the
financials inside your ManageMore program on a monthly basis. If
there was only a way for them to review your financials from their own
offices, and easily report back to you the changes needed in your
ManageMore copy to correct your books?
Well, now there is. The Auditor's Edition is a
FREE program that can be given to your accountant for him to review
and make changes to your ManageMore database while you continue to work
on your ManageMore copy at the same time. In a very similar manner
to QuickBooks® Accountant's copy feature, your accountant will receive a
special file you create from within your ManageMore program (under
File... Auditor's Review...) for him to review or edit. Once your
accountant has made the necessary changes, he can then send back a file
which contains the work he did on your General Ledger.
For more info about the Auditor's Edition, go to
http://www.managemore.com/audit/index.htm
New QuickBooks® Conversion Feature
A new feature has been added to help Quickbooks users
easily migrate to ManageMore with minimal to no data entry required.
Our intelligent wizard process will guide you through simple steps to
convert almost all of your Quickbooks data directly into ManageMore.
There are two conversion modes to this new feature. One mode is
designed for new customers who have just started using ManageMore and
have no data currently in the software. The other mode is for
existing ManageMore users that want to migrate parts of the QuickBooks
database to ManageMore (e.g. if you buy-out another company that used
QuickBooks to run their business and want certain data to migrate into
your existing ManageMore database).
New Vendor 1099 Form Printing Feature
Just
in time for the new year... ManageMore can now print your vendor 1099
forms automatically. No more messy manual filling out of forms or
forgetting to send a 1099 form to a certain vendor. ManageMore will
identify all vendors that should receive a 1099, based on the IRS defined
limits. Using standard pre-printed 1099 forms found in most office
supply stores or at popular web sites like
www.nebs.com, you can print out your vendor 1099 forms as well as the
1096 summary form required by the IRS. There is also an option for
creating an electronic 1099 file that can be submitted directly to the
IRS. Please see Activities... Vendors... Create Vendor 1099's for
more information on using this feature.
New Manufacturing Capabilities (Complete Edition Users Only)
An entire new business functionality has been added to ManageMore that is
now specifically targeted for light to medium size manufacturers.
This industry-specific feature allows businesses to better handle the
making of a product and the management of customer work orders.
Manufacturing is the transformation of raw materials into finished goods
for sale, or intermediate processes involving the production or finishing
of semi-manufactures.
The core system manages customer orders, inventory,
assemblies, sub-assemblies, production control, cost accounting and
management reporting.
Since their are many features involved with manufacturing (i.e. work
quotes, work orders, work receipts, WIP stages, assemblies, BOM's, scrap,
etc.), we will not go into details here. Please refer to the online
documentation provided in the manufacturing sections of the program.
See Lists... Inventory... Manufacturing...
New Lists and Labels Manager (Complete Edition Users Only)
ManageMore adds a new level of report flexibility by introducing an
integrated mail merge utility. This new feature called our
"Lists and Labels Manager" allows you to design a report template that can
be used for a variety of purposes. It's main benefit is its ease of
use at creating nearly any type of label oriented report. It is no
longer necessary to do all those clunky file export/import steps into a
word processor, just to do a mail merge or to print mailing labels.
With
just a few mouse clicks, ManageMore can select the records you are
looking for and print them to any of the dozens of report templates
provided or to one you have made up yourself. Imagine
printing your own customer labels, prospect letters, inventory labels,
employee labels, vendor rotary cards, file folder labels, business cards
and more without the need of a word processor and with much more control
over the entire printing process. You can select the fonts, point
size, color, fill, border, orientation, etc. You can also print
USPS Postnet barcodes, as well as Code39 barcodes for inventory labeling.
Another large advantage to the Lists and Labels Manager is its integration
with the purchasing process of ManageMore. As items are received
into your warehouse via the purchase receipt process, ManageMore will
automatically add the necessary items for labeling directly to the Lists
and Labels Manager process. You don't have to worry about what items
need labeling or how many labels you need to print. The Lists and
Labels Manager will handle all of that automatically.
Simply decide when you are ready to print your pending inventory
labels... it's that easy.
For
more information on this module, please visit
www.managemore.com/lists-labels/index.htm
See Reports... Lists and Labels... for use of this feature.
NOTE: This feature can be purchased as an add-on to the ManageMore Lite,
Standard or Professional Edition. Please contact sales for pricing
information on this module.
Improved Email Anti-Spam feature
For those of you using the Email Pro add-on feature,
we have now integrated a feature that allows ManageMore's Email system to
work seamlessly with popular 3rd party Anti-Spam software solutions.
Anti-spam software has become quite popular with the proliferation of
junk email being received daily to businesses. But anti-spam
software can also make mistakes and delete legitimate email from time to
time.
Fortunately, many of the anti-spam applications on the
market today also allow for special email tagging of spam versus
deletion. It is these special tags that ManageMore can now
recognize and be set up to automatically re-direct junk email to a
special spam folder on each individuals mailbox system. This
spam protection method allows the individual to periodically review their
suspect junk mail to ensure that no legitimate mail has been considered
spam. See Setup... Options... Email... Spam Protection...
Improved Financial Reporting
Many
of the standard Financial Reports now support a new drill-down capability
from within the report preview mode. Similar to a feature found in
QuickBooks®, you can now review financial reports on-screen and then
click on any of the numbers shown on the report for further analysis.
This feature makes it extremely easy to audit your books and find
discrepancies quickly. See Reports... Report Explorer...
General Reports... General Ledger... and run any of the following reports
with preview mode enabled: Balance Comparison; Balance Sheet; Profit and
Loss; or Trial Balance.
You
will also find a new General Ledger Detail Report for viewing details of
a single GL Account or many GL Accounts over a given date range.
Lastly, all of these specialized financial reports can be expanded to fit
your monitor resolution. This makes it easier to view more
information in one-screen view. Simply place your cursor in the
lower right corner of the window until the cursor changes, and then
click-drag your mouse to accommodate the window space you desire.
New Company Regions
As
your business grows, it can sometimes be a headache to review your
financial picture on a store by store basis. Larger operations with
about 15 locations or more may want to look at their business on a
regional basis versus an individual store location basis. With this
release, you can now define company regions so that you can group
locations in a more meaningful manner. Your regions can represents
cities, territorial boundaries, states, etc. and can be changed around as
often as you like.
A
variety of sales and general ledger reports will contain a region filter
for easily getting reports based on the location grouping of your choice.
See Lists... Company Sites... Regions.
New Public Web Forum
This
may not necessarily be a new feature in ManageMore, but it is definitely
a monumental step forward in providing our customers better support.
As of February 1, 2005, Intellisoft has launched a new public web forum
at forums.managemore.com
This
dedicated web forum represents a new channel of support for the thousands
of ManageMore users worldwide. In order for the forums to work, you
must be willing to periodically participate in the ManageMore discussions.
We anticipate that within the next few months, the forums should be
jumping with activity and our customers will be able to ask questions
24/7 as well as help out newbies who are just starting out with
ManageMore.
With
this release, you will find that several areas of the program now
integrate directly to the public web forums as well. In particular,
many of the help options now link directly to the web forum itself.
Furthermore, Version 5.0 now periodically monitors the announcement
forums and will advise you of any new company/product announcements that
may be of interest to you.
Miscellaneous Improvements and Fixes

incorrectly update Supertrack Inventory with incorrect Quantities in
Transit.
14. Made improvements to a known problem that occurs with Microsoft
Terminal Services / Citrix Metaframe and idle sessions while the
ManageMore program is still running. These OS's can be set to
automatically shut down sessions that are idle for long periods of time.
Users who do not properly closedown ManageMore or do not exit key
transactions associated to an Auto-Invoice process, could experience
record loss if these OS's forcibly shutdown ManageMore. A few
problematic areas in ManageMore have been improved to minimize the
possibility of record loss in these scenarios.
15. Fixed inventory costing issue which occurred under certain
circumstances when converting a sales order to sales invoice.
